This Privacy Policy tells you what to expect us to do with your personal information when you contact us or use our services. The Learning and Skills Office are committed to respecting your privacy and to complying with all applicable data protection and privacy laws. We have provided this Privacy Policy to help you understand how we collect and protect your information when you, or your representative, submit this to us and for the duration of the time you continue to use our services.

We wish to help you make an informed decision, so please take a few moments to read the sections below on the type of personal data we collect, how we collect it, how we may use it, how we store it and how we protect it. We appreciate the trust you place in us when sharing your personal data and we have explained what rights you have with regards to your personal data and how you can exercise those rights. 

If you, or anyone on your behalf, submits personal information to us for any reason, for example but not limited to, those outlined below you can be assured that we will use your personal information only for the reason you supplied it to us and to support your continuing relationship with our business.

Collection of personal data – how we get personal information and why we have it:

Most of the personal information we process is provided to us directly by you for one of the following reasons. We currently collect and process your personal information with your knowledge and consent and typically when you or your representative: 

  • Have registered details on our website
  • Use our services or products
  • Make general enquires
  • Request information and/or service details
  • Respond to communications from us
  • Attend an event
  • Submit online applications and/or other submissions
  • Subscribe to our marketing and/or e-newsletters
  • Visit our website and consent to the use of cookies
  • Or, in any way, requiring us to serve you as a member of The Learning and Skills Office Limited.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Non-personally identifying information about your interaction with our online access areas using digital cookies.
  • We use the information that you have given us for the functioning of the online elements of our business including our websites and online tools and these must be allowed to access the requested online service(s). Other information may include the pages you browse; the products and/or services you request; and to enhance your browsing experience. 

We may share this information with third parties, this will include: The Exams Office Limited; the National Association of Examinations Officers and other partners who provide services or products via our business/these businesses to you. The Learning and Skills Office deal with personal data in respect of members, consultants, business partners, subsidiaries, sub-contractors, analytics and search engine providers, and legal organisations for the performance of any contract we may enter into with you.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

The type of personal information we collect:

The type of information we collect is kept to the absolute minimum for us to communicate and supply you with the information or services for which you allowed us your details. This typically includes the following and the lawful basis for processing is indicated:

  • Name, organisation, location, email address, membership account identification – we collect this communication detail to provide appropriate online or email information about services that you have requested and to develop existing new services to meet the requirements of membership including the delivery of member information in hard copy and digital format.
    The information you provide is used internally, your consent is also given for marketing purposes and the information may be provided to the third parties providing a product or service. (Contractual Obligation and Consent).
  • Mobile and/or landline numbers - we collect this communication detail to follow up by telephone with information you have requested (Contractual Obligation). We retain this information internally.
  • Name, dietary requirements, disability, special needs – we collect this information to fulfil catering and in preparation for/the purpose of event attendance. We will use this information internally and provide to third parties providing a product or service (Contractual Obligation and Consent).
  • Personal contact information through online forms or events - we collect communication detail to provide further online, or email information, and on-going news related to requests you have made (Legitimate Interest).
  • Technical Information – we collect this information for membership transaction and security purposes. System and website technical infrastructure information is collected and shared internally, and with third parties, and not outside the UK (Legitimate Interest).

How we store your personal information:

Your information is securely stored. Except as otherwise permitted, or required by law, we will retain your personal data to fulfil the purposes for which it was collected. We keep non-essential data to an absolute minimum and entirely optional.

We will only hold on to your data for as long as we need to for the purposes we acquired it, which will be/was made clear at the time this is/was submitted.

In most cases, this means we will keep your information for as long as you are a registered member of our business and/or continue to use our services (and for a reasonable period afterwards).

When no longer required we delete all personal data, other than where we lawfully need to keep or where you have exercised your right to erasure (if/where applicable to certain circumstances).

We use industry standard practice throughout the business and secure encryption of data in transit and storage where possible and applicable.

We are constantly reviewing and enhancing our technical, and physical, working procedures and the rules to protect all personal data and keep it safe from unauthorised access, accidental loss and/or destruction.

Your right of access - You have the right to ask us for copies of your personal information

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request we have one month to respond to you.

We may process your personal data without your knowledge or consent where we are permitted or required by law or regulatory requirements to do so or where we have a legitimate purpose for doing so. In such a case, we will not process more personal data than is required under the circumstances. We will not send you emails, or other communications, unless you have consented to receiving them by acceptance of this Privacy Policy.
